Position Summary
Mount Mercy University’s Social Work Program seeks a qualified applicant who will contribute to the effective and smooth functioning of the Social Work Program. The hourly position coordinates with the 10-month academic year and is responsible for clerical tasks, database creation and management, and interpersonal contact with on and off campus constituencies. A high school education and appropriate further education, training, and/or experience necessary to fulfill its responsibilities is required. The person who fills the position must be competent with word processing and database management and be willing to learn other software necessary for electronic record keeping. Strong interpersonal skills, tact, discretion about communication, and the ability to effectively respond to sensitive or complex situations are a must.
The Social Work Program is a long-standing, nationally accredited program with two full-time faculty, adjunct faculty, and approximately 40 students in the major. While all faculty and staff must be self-directed the program functions within a supportive, team approach.
Responsibilitities
- Develop and maintain information databases on students in the major and agencies participating in the field instruction program.
- Utilize existing University databases and develop and maintain Social Work databases required for the efficient operation of the program and necessary to achieve standards for reaccreditation through the Council on Social Work Education.
- Input changes made by the Director of the Program to the electronic Social Work Field Manuals and the Handbook for the Social Work Major.
- Coordinate arrangements for program events and meetings between faculty and community representatives involved in the operation of the program.
- Utilize Publisher to create program informational and promotional materials.
- Facilitate field coordination activities by creating and utilizing email recipient groups that receive communications from the Director of the Field Program; triaging field inquiry questions to the field director; directly responding to routine information requests; and maintaining field coordination timeline.
- Perform necessary clerical work related to the efficient operation of the Social Work Program.
- Ensure a professional and friendly reception area for students, members of the Mount Mercy campus, and community representatives who contact the main office.
- Maintain accurate electronic and hard copy files as required for the effective operation of the program.
- Monitor, order, and maintain office supplies.
- Perform selected clerical work and keep necessary records when program members serve on campus committees or are officers in state or local social work organizations.
- Provide selected clerical services to support program faculty research that is integral to the maintenance and operation of an accredited social work program.
Schedule
Part-time: 20 hours per week. Monday-Friday from 8:00 AM-12:00 PM or Monday-Thursday from 8:00 AM-1:00 PM.
Qualifications
- The Social Work Administrative Assistant is in frequent contact with program faculty, students, agency personnel, state and local representatives of the professional social work community, and with national organizations of importance to maintaining an accredited social work program. This requires strong interpersonal skills, tact, discretion about communication, and the ability to effectively respond to sensitive or complex situations. It also requires the ability to meet narrow timelines when they arise.
- Because of the nature of the student application for the major, the evaluation of field performance, and other sensitive information, keeping confidentiality is a must.
- Must be competent with word processing, databases, and spreadsheets in a Windows environment, and be willing to learn other Windows based software necessary for electronic record keeping of program information.
- Person must be organized, able to anticipate what needs to be done, and work effectively with limited supervision.
- Position requires at least a high school education and appropriate further education, training, and/or experience necessary to fulfill the responsibilities of the position. Accuracy of writing/word processing, speaking, data entry, and record keeping is very important.
